Location: Garden City/Hybrid | Schedule: FT M-F, 35 Hours | Status: Exempt | Salary Range: $85,000 – $95,000/Annually
The Opportunity
Join Family & Children’s Association (FCA) as our Director of Grants. Lead the financial administration, compliance, reporting, and strategic oversight of government, foundation, and private grants while partnering across Fiscal, Development, and Program teams to maximize funding impact.
Responsibilities
Grant Financial Management
- Monitor the financial performance of all awarded grants.
- Develop and maintain grant budgets in collaboration with program leadership.
- Track grant expenditures to ensure spending aligns with approved budgets.
- Review expenditures for allowability, allocability, and reasonableness.
- Prepare grant budget modifications and amendments as needed.
- Monitor grant spending deadlines and identify potential funding risks.
Financial Reporting
- Prepare monthly, quarterly, and annual financial reports for grant funders.
- Reconcile grant expenditures with the general ledger.
- Coordinate financial reporting with program and development staff.
- Ensure timely submission of all required financial reports.
- Maintain grant financial documentation and supporting records.
Compliance & Audit Support
- Ensure compliance with federal, state, county, and private grant regulations.
- Maintain documentation supporting grant expenditures.
- Assist with Single Audit (Uniform Guidance) preparation.
- Coordinate responses to grant monitoring visits and financial audits.
- Monitor grant restrictions and ensure compliance with funder requirements.
Budget Development
- Assist with preparing grant proposal budgets.
- Provide financial guidance during proposal development.
- Prepare cost allocations and indirect cost calculations when applicable.
- Analyze historical spending trends to support budget development.
Collaboration and Oversight
- Partner closely with:
- Development Department
- Program Directors
- Human Resources
- Payroll
- Executive Leadership
- Participate in grant kick-off meetings and ongoing budget reviews.
- Provide financial guidance to program managers regarding grant spending.
- Supervise a team of contract managers and contract specialists and provide guidance and oversight as needed.
- Develop and implement grant financial policies, procedures, and internal controls that strengthen compliance, accountability, and operational efficiency.
- Mentor, coach, and develop grant accounting and contracts staff, fostering a culture of continuous improvement and professional growth.
- Present grant portfolio financial performance, funding trends, compliance updates, and strategic recommendations to Executive Leadership and, when appropriate, the Board of Directors.
- Serve as a strategic advisor to executive leadership on grant funding opportunities, financial sustainability, and organizational risk management.
Internal Controls
- Maintain accurate grant tracking schedules.
- Reconcile grant receivables and deferred revenue.
- Assist with month-end and year-end grant reconciliations.
- Recommend process improvements to strengthen grant management.
Reporting & Analysis
- Produce grant spending dashboards and financial summaries.
- Identify underspending or overspending trends.
- Forecast grant spending through the end of each award period.
- Assist leadership with strategic grant planning.
Qualifications
- Bachelor’s degree in accounting, Finance, Business Administration, or related field required.
- Master’s degree or CPA preferred.
- Five (5) or more years of progressively responsible nonprofit grant accounting, grants financial management, or grant administration experience, including leadership or supervisory responsibilities.
- Experience with government grants (Federal, NYS, County) preferred.
- Experience with Uniform Guidance, strongly preferred.
- Experience with nonprofit accounting systems and payroll allocations.
- Strong understanding of nonprofit accounting principles.
- Knowledge of grant compliance requirements.
- Excellent financial analysis skills.
- Strong Microsoft Excel skills, including pivot tables and formulas.
- Experience with accounting and ERP systems (NetSuite a plus).
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple grants simultaneously.
Preferred Qualifications
- Experience working in a human services nonprofit.
- Knowledge of OASAS, OMH, OCFS, NYS, County, and Federal funding streams.
- Experience preparing Single Audit schedules.
- Familiarity with indirect cost rate calculations.
